HVAC service reports with photos the homeowner will actually read

Most HVAC work happens inside a cabinet the customer never opens. Photos of what you found and what you left behind turn “the tech was here for an hour” into a visit they understand — and one you can point back to.

The HVAC shot list

Photograph the condition on arrival before you touch anything, then the same components after service.

What belongs on page 1

Page 1 should let a homeowner, landlord or property manager understand the visit without scrolling:

Why it pays off

Callbacks and disputes. When the system fails again in August, photos of the new capacitor and the clean coil show what was done in April. A recorded, declined recommendation (“advised coil replacement”) protects you when the bigger repair arrives.

Manufacturer warranty. Parts claims often ask for model and serial numbers and a description of the failure. Having the data plate and the failed part on file makes that paperwork faster.

Landlords and property managers. They are paying for a visit they did not see. A report with photos is the easiest way to get the invoice approved.

Maintenance agreements. A before-and-after filter and coil photo each visit shows the customer what their plan is buying.

How CloseoutCam builds it

Create a job, add the customer, address, date and technician, then shoot or import your photos and tag each one Before or After. Add a short caption to each photo and a few lines of notes. Tap Create Report and CloseoutCam lays out a page-numbered PDF with before and after side by side, ready to send by text or email from the iOS share sheet. Building the report works with no signal; sending it needs one.

With Pro, the HVAC template titles the report “HVAC Service Report” with sections for “Condition on Arrival” and “Condition After Service”, suggests captions like “Filter condition”, “Refrigerant readings” and “Replaced component”, and prompts you for model and serial, readings and parts. Every word stays editable. With Pro you can also circle the burnt contact or the ice on the coil, and put your logo and license number in the header.

The first 3 reports are free on the general contracting template, with a small “Created with CloseoutCam” line in the footer. Pro is $9.99/month or $79.99/year per Apple ID and adds unlimited reports, every trade template, your branding and photo markup, and removes the footer line.

The sample is a roofing job, but every trade uses the same layout; the HVAC template changes the headings, captions and prompts. Sample report uses illustrative photos — “Northwind Roofing” is a fictional company and the photos are AI-generated, not a real job.

Questions

What should an HVAC service report include?

Company and license details, customer and address, date, technician, equipment model and serial, the complaint, what you found, what you did, parts and readings, recommendations — and photos of the equipment on arrival and after service.

Is the HVAC template free?

No. The free tier gives you 3 reports on the general contracting template. The HVAC template, along with your branding and photo markup, comes with Pro ($9.99/month or $79.99/year).

Can the customer sign the report?

Reports can include printed customer and technician signature lines on a final page. These are lines on the PDF to sign on paper or after printing, not an electronic signature.

Do I need a signal in a basement or attic?

No. Capture, captions and building the PDF all work offline. You need a connection only to send the report.
